Improved Health Office Communications

Dear Parents,

In the past few weeks we have identified an area of needed improvement regarding communications from our school Health Office.

Our Health Office has two full-time Registered Nurses and is open from 7:30 a.m. – 5 p.m. daily during the school week. Additionally, our Athletic Department employs a full-time certified athletic trainer who responds to athletic injuries and is trained to evaluate head injuries and potential concussions. He is on campus daily, from 7:30 a.m. until the last team ends practice or a game, unless he is needed to travel with a team to an away game. On average, these trained medical professionals see nearly 100 students every day for everything from stomachaches and minor cuts and scrapes, to falls on the playground, and bumps and hits to the head. Our staff takes all of these matters very seriously. They consult with each other on medical matters, log every student visit to the office and monitor ongoing situations and recurrent visits by individual students.

It has become clear, however, that we can do a better job communicating with our parents when students are seen in the Health Office. Currently, we notify parents when a student’s medical situation requires early dismissal from school, home monitoring by parents or further medical evaluation and follow up by a family doctor. This communication is typically done through phone conversations with parents. While the focus needs to remain on student care first, we believe we can strengthen our partnership by informing parents each and every time a student is seen in the Health Office for an accident or an injury.

Going forward all student visits to the Health Office that involve any kind of potential head injury will be communicated with parents by phone call and email. Additionally, we are developing an automated email notification system and protocol that will alert parents, with a copy to a student’s home-room teacher or class dean, any and every time their child has visited the Health Office during the day, regardless of the severity. This communication will include the reason for the visit and what if any treatment was administered, e.g. ice pack, bandage and over-the-counter medications. We plan to have a new, formal process and procedure in place by the start of the 2012-2013 school year.

We know and take very seriously that you place the highest trust in us for the care and education of your children. Their safety, health and well-being are our most important responsibility. We continually look for every way possible to maintain and improve our processes and protocols to provide the very best care for our students.

Finally, as we work together in caring for your children, please continue to keep your emergency profile updated and inform the Health Office about any off-campus injury of which we should be aware and monitor. Please feel free to contact me with any questions or comments.
